A)
1. During your interview with us we may ask to see your c.v. for the following purposes:
- To check your qualifications and work history.
- To assess your suitability for the role applied for.
Our legal basis for processing is as follows:
- Article 6(1)(a) – consent
We will retain this information for 6 months after the interview or for the duration of your employment if successful.
2. We collect personal data from you prior to you starting with the company. The personal data we collect are name, address, contact telephone number, next of kin details, doctor’s details, national insurance number and passport number for the following purposes:
- So we can contact you when needed and to prove you have the right to work in this country.
- We can contact your next of kin or doctor in an emergency.
Our legal basis for processing this data is as follows:
- Article 6(1)(b) – contract
We will retain this data for your period of employment plus 2 years further.
3. We also collect your banking details for the following purposes:
- So we can pay you your salary
Our legal basis for processing this data is as follows:
- Article 6(1)(c) - legal obligation
This information is shared with the HMRC
We will retain this information for the duration of your employment plus 6 years
4. Once employed by us we will monitor your progress with regard to annual leave, performance reviews, absence records, disciplinary and grievances records for the following reasons:
- To provide feedback on your work performance.
- To help us assess if we need to make any adjustments to how or where you work.
- To maintain a positive working relationship between employer and employee.

- Article 6(1)(b) – contract
We will retain this information for 3 years.
5. During employment with us we may also collect data in relation to any accidents for the following reasons.
- To help us understand where we can improve the safety of our employees
Our legal basis for processing this data is as follows:
- Article 6(1)(c) - legal obligation
This data may be shared with the HSE.
We will retain this information for 3 years.
6. During employment with us we may collect data from a third party regarding your health for the following reasons:
- It helps us make sure you are fit for work
- It helps us make sure we are not injuring you at work
Our legal basis for processing this data is as follows:
- Article 6(1)(b) - contract
This is considered sensitive data and as such our basis for processing such data is as follows:
- Article 9(2)(b) – employment
We will retain this information for the duration of your employment plus 4 years.
B)
Any data that we process that is not covered in this policy we will first ask for your consent. We will not process any data without first asking for your consent to do so. This will be obtained by a consent form. You may withdraw consent at any time by contacting your line manager.
C)
You have the right to view and/or rectify any data that we hold about you that is incorrect. You can do this by contacting your line manager.
D)
We will not pass your personal data to third parties without first obtaining your consent.
E)
We will put in place levels of security (both digitally and manually) dependant on the sensitivity to protect your data. In the unlikely event of a data breach we will inform you as soon as reasonably practical.
F)
We may retain your personal data longer than specified where such retention is necessary for compliance with a legal obligation to which we are subject, or in order to protect your vital interests or the vital interests of another natural person.
